The Training Administrator provides high‑quality administrative and coordination support to the Training function of Human Resource Department.

MAIN RESPONSIBILITIES:

Strategic

       N/A

 

Financial

  1. Process Training‑related financial transactions through Dynamics, including training costs, vendor payments, overtime, and reimbursements.
  2. Track Training expenditure against the approved annual budget and prepare regular cost and variance reports.
  3. Coordinate with Finance, Procurement, and HR teams to ensure timely and accurate financial processing.

 

Stakeholder / Customer

  1. Act as the primary administrative point of contact for internal departments on training coordination matters.
  2. Liaise with external training providers and awarding bodies to support scheduling, documentation, and compliance requirements.
  3. Support audits, reviews, and visits from external bodies by ensuring required records and evidence are available and accurate.

 

Operational 

  1. Coordinate and administer training activities, including scheduling, attendance records, evaluations, and post‑training documentation.
  2. Maintain accurate record‑keeping, document control, and data integrity.
  3. Produce regular training, attendance, and performance reports for management and internal stakeholders.
  4. Review internal and external training documentation for accuracy, completeness, and compliance with approved templates and standards.
  5. Support internal audits of training’s administrative processes and implement corrective actions where required.
  6. Coordinate travel, accommodation, and logistical arrangements as required.
  7. Maintain confidentiality of all training, employee, financial, and performance information.

  2. Maintain up‑to‑date knowledge of HR-Training systems, tools, and administrative best practices.
  3. Work collaboratively with HR, Operations, Finance, and external partners to support effective learning delivery.

Education

Diploma or degree of any discipline.

 

Degree in business administration, human resources, or a related field (preferred).

Experience

  1. Minimum 3 years’ experience in an administrative role, preferably within HR or Training administration.
  2. Experience working with training records, databases, or HR systems.
  3. Exposure to finance or procurement processes is an advantage.

5 years of experience in administrative and executive support roles in rail industry

Skills / Training

  1. Fluent in English (written and spoken).
  2. Proficient in MS Office applications, particularly Excel and Word.
  3. Strong organisational, communication, and time‑management skills.
